Receptionists

At Spaces, we call our receptionists Community Associates. Our customers come to us for an inspiring work environment. As one of our receptionists, you’ll help deliver it. How? By providing sparkling service. Going the extra mile. And making sure everyone who visits us feels totally at home.

A typical day at Spaces

You arrive 15 minutes before your centre opens to make sure everything is ready to go. You make it your responsibility to order the first cappuccino of the day at the bar and make your round through the business club to make sure all lights are turned on and the place looks tidy.

Slowly, the first members start to arrive and one of them asks you for the changed WiFi code. Afterwards, while digging through your emails, a guest walks in and says she’s coming to provide training in one of the meeting rooms. You check the meeting room agenda and notice that almost all of the meeting rooms will be occupied today. You take her to the right meeting room, but you find out that our catering partner forgot to put coffee in the room and make sure that this is still done.

A bit later, a member asks you if his mail has already arrived; he’s expecting a really important letter. Later that morning, the mail comes in and you put it in the corresponding mailboxes – and send an email to the member that came by earlier, saying that his mail arrived and that it’s waiting for him in his mailbox.

After a hectic morning, it’s time for lunch. You grab a homemade soup and a healthy salad together with your favourite colleagues in the restaurant.

After lunch, you sit down with the Community Manager to discuss the organisation of next week’s summer event. However, he mentions that one of the members just had a baby. You take it upon yourself to organise an act of kindness from Spaces, and to congratulate the parents of the new-born. Once you’re done with ordering, a guest pops by to sign up for a membership. Because your Sales colleague isn’t available right now, you help the guest with the online registration. Once the registration is done, you immediately hook her up with a badge (and immediately arrange one for the new employee on the 4th floor who just emailed you as well).

At 6:00pm, it’s time to gently ask the large group in meeting room 3 to wrap it up. Maybe they would like to join us for drinks at our weekly Friday drinks, or you direct them to that nice nearby restaurant you know so that they can grab a bite. Once the last people have left the building, and everything’s left behind nice and tidy, you head home to enjoy your evening

The day is coming to a close. Time to gently ask the large group in meeting room 3 to start wrapping up. You direct them to the nice restaurant you know around the corner, so they can grab a bite and continue their discussion. Once the last person has left the building and everything’s nice and tidy, it’s time to head home.

We’re looking for someone who knows how to manage multiple tasks while providing customers with the best possible service. You also need to be :

About the Opportunity

As a Community Associate, you'll be the primary point of contact for the Community and act as the “face” of WeWork! You will report to your building each day to support the Community Management team. Your work, which will include but not be limited to the duties listed below, will help WeWork to achieve the following:

  • Build a welcoming and collaborative community environment amongst our members through events and building relationships between members!
  • Ensure that your building is fully operational and processes are running efficiently.
  • Drive growth and promotion of WeWork-provided service offerings.
  • Take direction from the Community Lead and the Community Manager to support the Community Team as necessary.
  • All of this while illustrating WeWork’s core values and working towards achieving our mission.
In this role, you’ll: Front Desk Management:
  • Cover the front desk during the building’s set business hours and be an on-site point of contact, easily located on the member floor or at Community Bar.
  • Greet members and guests with a warm and welcoming demeanor.
  • Ensure all visiting guests are in accordance with WeWork's guest policy by ensuring all guests properly sign-in via Welkio iPad.
  • Learn the names of members and guests with the goal of building relationships in order to facilitate the sense of community that WeWork is known for.
  • Anticipate member and guest needs before they arise using relevant information collected about members to enhance and personalize their experience.
  • Ensure building specific forms are up to date including pet forms, filming requests, bike room requests, etc.
  • Keep the front desk clean and organized.
  • Notify members of any food deliveries and couriers.
  • Answer any questions from members and guests related to the building including way-finding, policies and procedures, community etiquette, etc.
Events and Membership Engagement:
  • Provide feedback on programming types (based on member makeup) and evaluate events based on attendance, satisfaction, and impact on the appropriate event team.
  • Consistently celebrate members’ successes and milestones through gifts and notes.
  • Distribute all necessary info to promote the event including creation and posting of weekly events poster and individual event posters.
  • Ensure building-specific operational requirements are met for each event (e.g., elevators, HVAC, etc.).
  • Input notes into Kube or an equivalent system about members.
  • Identify and execute opportunities to connect members with each other.
  • Know and recommend local restaurants, food delivery services, catering options, team outing venues, post office, shipping center, supply store, etc.
  • Be active on the WeWork member network to engage members.
  • Know and explain WeWork policies and procedures and communicate, inform, and update members on building issues.
  • Ensure music levels and activations are appropriate to the daypart and occasion.
  • Write and send broadcasts relating to building updates.
Building Operations and Management:
  • Receive, process, sort, and organize all mail.
  • Locate and issue posts via the regional system to members upon request.
  • Keep the mailroom organized and clean.
  • “Return to Sender" for unidentified mail and former member mail after 30 days of no-pick up.
  • Ensure courier parcels have all the correct details for scheduled pick-ups.
  • Investigate, escalate, and resolve 'lost' packages.
  • Know and explain WeWork policies and procedures around mail and mailroom.
  • Track, audit, and organize keys collected and distributed.
  • Manage keycard stock and request new inventory as needed.
  • Collect keys and key cards upon move-out.
  • Review location and how to use each piece of emergency equipment.
  • Provide support for an automated coffee machine for guests and members.
About You

We’d love to hear from you if you meet the qualifications below:

  • College graduate with a four-year degree preferred, but not required.
  • Customer service and/or sales experience a plus.
  • Must have strong verbal and written communication skills.
  • Outstanding interpersonal and multitasking skills.
  • Demonstrate integrity, dependability, responsibility, accountability, self-awareness, work ethic, and compassion.
  • Passion for entrepreneurial communities.
  • Passion and understanding of WeWork’s mission and values.

About the Opportunity

As a Community Associate, you'll be the primary point of contact for the Community and act as the “face” of WeWork! You will report to your building each day to support the Community Management team. Your work, which will include but not be limited to the duties listed below, will help WeWork to achieve the following:

  • Build a welcoming and collaborative community environment amongst our members through events and building relationships between members!
  • Ensure that your building is fully operational and processes are running efficiently.
  • Drive growth and promotion of WeWork-provided service offerings.
  • Take direction from the Community Lead and the Community Manager to support the Community Team as necessary.
  • All of this while illustrating WeWork’s core values and working towards achieving our mission.
In this role, you’ll: Front Desk Management:
  • Cover the front desk during the building’s set business hours and be an on-site point of contact, easily located on the member floor or at Community Bar.
  • Greet members and guests with a warm and welcoming demeanor.
  • Ensure all visiting guests are in accordance with WeWork's guest policy by ensuring all guests properly sign-in via Welkio iPad.
  • Learn the names of members and guests with the goal of building relationships in order to facilitate the sense of community that WeWork is known for.
  • Anticipate member and guest needs before they arise using relevant information collected about members to enhance and personalize their experience.
  • Ensure building specific forms are up to date including pet forms, filming requests, bike room requests, etc.
  • Keep the front desk clean and organized.
  • Notify members of any food deliveries and couriers.
  • Answer any questions from members and guests related to the building including way-finding, policies and procedures, community etiquette, etc.
Events and Membership Engagement:
  • Provide feedback on programming types (based on member makeup) and evaluate events based on attendance, satisfaction, and impact on the appropriate event team.
  • Consistently celebrate members’ successes and milestones through gifts and notes.
  • Distribute all necessary info to promote the event including creation and posting of weekly events poster and individual event posters.
  • Ensure building-specific operational requirements are met for each event (e.g., elevators, HVAC, etc.).
  • Input notes into Kube or an equivalent system about members.
  • Identify and execute opportunities to connect members with each other.
  • Know and recommend local restaurants, food delivery services, catering options, team outing venues, post office, shipping center, supply store, etc.
  • Be active on the WeWork member network to engage members.
  • Know and explain WeWork policies and procedures and communicate, inform, and update members on building issues.
  • Ensure music levels and activations are appropriate to the daypart and occasion.
  • Write and send broadcasts relating to building updates.
Building Operations and Management:
  • Receive, process, sort, and organize all mail.
  • Locate and issue posts via the regional system to members upon request.
  • Keep the mailroom organized and clean.
  • “Return to Sender" for unidentified mail and former member mail after 30 days of no-pick up.
  • Ensure courier parcels have all the correct details for scheduled pick-ups.
  • Investigate, escalate, and resolve 'lost' packages.
  • Know and explain WeWork policies and procedures around mail and mailroom.
  • Track, audit, and organize keys collected and distributed.
  • Manage keycard stock and request new inventory as needed.
  • Collect keys and key cards upon move-out.
  • Review location and how to use each piece of emergency equipment.
  • Provide support for an automated coffee machine for guests and members.
About You

  • College graduate with a four-year degree preferred, but not required.
  • Customer service and/or sales experience a plus.
  • Must have strong verbal and written communication skills.
  • Outstanding interpersonal and multitasking skills.
  • Demonstrate integrity, dependability, responsibility, accountability, self-awareness, work ethic, and compassion.
  • Passion for entrepreneurial communities.
  • Passion and understanding of WeWork’s mission and values.
  • Proficient in basic computer skills.

At Spaces, we call our receptionists Community Associates. Our customers come to us for an inspiring work environment. As one of our receptionists, you’ll help deliver it. How? By providing sparkling service. Going the extra mile. And making sure everyone who visits us feels totally at home.

At Spaces, we call our receptionists Community Associates. Our customers come to us for an inspiring work environment. As one of our receptionists, you’ll help deliver it. How? By providing sparkling service. Going the extra mile. And making sure everyone who visits us feels totally at home.
A typical day at Spaces
You arrive 15 minutes before your centre opens to make sure everything is ready to go. You make it your responsibility to order the first cappuccino of the day at the bar and make your round through the business club to make sure all lights are turned on and the place looks tidy.
Slowly, the first members start to arrive and one of them asks you for the changed WiFi code. Afterwards, while digging through your emails, a guest walks in and says she’s coming to provide training in one of the meeting rooms. You check the meeting room agenda and notice that almost all of the meeting rooms will be occupied today. You take her to the right meeting room, but you find out that our catering partner forgot to put coffee in the room and make sure that this is still done.
A bit later, a member asks you if his mail has already arrived; he’s expecting a really important letter. Later that morning, the mail comes in and you put it in the corresponding mailboxes - and send an email to the member that came by earlier, saying that his mail arrived and that it’s waiting for him in his mailbox.
After a hectic morning, it’s time for lunch. You grab a homemade soup and a healthy salad together with your favourite colleagues in the restaurant.
After lunch, you sit down with the Community Manager to discuss the organisation of next week’s summer event. However, he mentions that one of the members just had a baby. You take it upon yourself to organise an act of kindness from Spaces, and to congratulate the parents of the new-born. Once you’re done with ordering, a guest pops by to sign up for a membership. Because your Sales colleague isn’t available right now, you help the guest with the online registration. Once the registration is done, you immediately hook her up with a badge (and immediately arrange one for the new employee on the 4th floor who just emailed you as well).
At 6:00pm, it’s time to gently ask the large group in meeting room 3 to wrap it up. Maybe they would like to join us for drinks at our weekly Friday drinks, or you direct them to that nice nearby restaurant you know so that they can grab a bite. Once the last people have left the building, and everything’s left behind nice and tidy, you head home to enjoy your evening

The opportunity

As a Community Associate, you’ll work closely with new and existing customers, solving problems for them and making sure they have everything they need.

A typical day at Regus

You arrive 15 minutes before your centre opens to make sure everything is ready and check there’s nothing the cleaners have missed.

Customers start coming in thick and fast. One asks you for a changed WiFi code. Another wants to know if his important package has arrived. A woman needs directions to her meeting room… and can you help her set up the projector and take an order for drinks?

The mail arrives. You sort through it while dealing with a whole host of other customer requests, remembering to email the customer from earlier to let him know his package is waiting for him in his mailbox. And that’s lunch.

Early afternoon, you sit down with the Community Manager to discuss the organisation of next week’s networking event. You plan and write the invites to customers, then create, print and put up posters on the noticeboards around the centre.

The day is coming to a close. Time to gently ask the large group in meeting room 3 to start wrapping up. You direct them to the nice restaurant you know around the corner, so they can grab a bite and continue their discussion. Once the last person has left the building and everything’s nice and tidy, it’s time to head home.

About You

We’re looking for someone who knows how to manage multiple tasks while providing customers with the best possible service. You also need to be :

A good communicator, with the ability to build strong professional relationships and empathise with people’s needsHappy taking ownership of problems and finding ways to solve themPositive, enthusiastic and able to adapt to fast-changing situationsConfident using MS Office and other basic IT packages
