We are looking for a Office Management Assistant to join our team on a temporary contract to cover a medical leave.
What you'll be rocking:
- Assist Offman & People department
- VISAs
- Schedule and reservation of the different meeting rooms
- Filter of incoming calls (switchboard), mails and other material. Take messages, handle inquiries and transfer calls to appropriate individuals
- Greet visitors, handle their inquiries and direct them to the appropriate persons
- Send/receive courier & correspondence
- Arrange and confirm appointments for clients
- Control file and file documentation of commercial contracts
- Operate office equipment such as fax machines, copiers and phone systems
- Set up and maintain paper and electronic filing systems for records
- General purchase
What you bring to the table:
- Good written and oral communication skills
- Self- sufficient and problem solving
- Highly responsible, ability to multi - task and capable to work with constant interruptions
- Good team player
- Knowledge of Google docs; Microsoft, SAP (preferable)
Educational milestone:
- Preferable Secretarial studies with administrative knowledge
- Advanced level of English, Catalan and Spanish, spoken and written

Buscamos un asistente de Office Manager que apoye los logros estratégicos de la organización asegurando el buen funcionamiento de la oficina en el día a día. Nuestra oficina en Madrid es una de las más grandes de goFLUENT, donde trabajan empleados de varias nacionalidades y necesitarán tu ayuda en diferentes asuntos (contratación, onboarding, permisos de vacaciones. ¡y no quedarse sin café!).
Reportarás directamente al Office Manager y al Vicepresidente de Iberia & LATAM.
Área de Gestión de Oficina
Responsable de la coordinación y funcionamiento del día a día de la administración y recepción de la oficina : filtrado y gestión de llamadas telefónicas, gastos comerciales varios y facturas de proveedores, compras, envíos, organización de viajes de negocios, eventos y reuniones, etc.
Gestión y mantenimiento de los ISO.
Coordinar nuestras iniciativas de formación interna con los gerentes, incluyendo Salud y Seguridad.
Mantener el material de papelería, cocina y oficina.
Cuidar la imagen corporativa de la oficina alineada con nuestro MKT Manager.
Procesar los gastos corporativos, no deducibles, personales.
Incorporación de nuevos empleados.
Envío de ofertas de trabajo previas.
Recogida de documentos : una vez obtenida la oferta de empleo firmada, solicitar los documentos necesarios para su incorporación.
Preparación del contrato con el asesor laboral.
Incorporación de los empleados a la base de datos.
Sesión de política corporativa con el nuevo empleado.
Documentación de prevención de riesgos y revisión médica.
Gestionar las solicitudes de vacaciones y permisos.
1-2 años de experiencia probada en tareas similares.
Experiencia en servicio al cliente, comportamiento profesional y actitud de trabajo en equipo.
Un nivel profesional de inglés (escrito y oral).
Capacidad para trabajar de forma independiente en múltiples prioridades.
Experiencia en un entorno dinámico similar a una startup, dentro de una empresa suiza en rápido crecimiento con 22 años de antigüedad.
